Board of Directors’ Meeting Minutes
The meeting was Called to Order at 7:00 PM.
Attendees: BoD Members: Rick Baldwin, Butch Cheatham, Chris Crouse, Carolyn Ferguson, Andy Ferguson,Mike Gupton, Annie Hensley, Kevin Hensley, Cindy Meadows, John Stinson, Dewitt Vanarsdale, Susan Warren, Paul Starzynski, Emily Howie, David Hammer, Kent Galvin.
Guests: Ken Catlett, Andy Ferguson, Sambo Lewis, Hal Norman, Lynn Evans, Pam Evans
Approval of Minutes from the Annual Meeting on September 26, 2015 (posted on www.MerifieldAcres.org) was passed without dissent after a motion that was seconded.
Treasurer’s Report: – Chair Annie Hensley reported the Bank of America checking account has $76,807.95, the Merrill Edge investment account has $143,755.75, and also provided the latest P&L statement. A motion was made, seconded and passed without dissent to accept the report.
Old Business
President’s Comments – President Butch Cheatham reported that there was a new door put on the tennis court. Kevin Hensley reported that, in addition, some hardware had to be replaced and some painting was required for the fence. All agreed it looked very nice. The Maintenance Contract with Mike Hite was renewed.
Committee Reports
Appearance and Beautification
Chair Chip Overton was not present but there was a positive comment on the Christmas lights at the entrance and how nice they looked.
Architectural Committee Report
Chair Kevin Hensley had nothing to report.
Aviation
Chair FJ Hale was not present and did not provide a report.
Common Areas and Facilities
Chair Alan Weyman was not present and did not provide a report.
Deer Control
Chair Scott Diamond was not present and did not provide a report.
Roads and Maintenance
Chair Mike Gupton had nothing to report.
Security
Chair David Hammer reported a stolen car incident when a resident reported a car was left running at Oak Park. The sheriff’s office was notified by the owner of the vehicle and the suspect was apprehended. There was also a construction sign from Steve Storm Construction at the construction site on Lewis Road that was stolen. No further action needed on either incident.
Communication
Welcoming / Email
Chair Cindy Meadows asked to be notified when there are new residents moving into Merrifield, so that she can welcome them and include them in the MALA newsletter email list.
Directory
Acting Chair Nola Adler was not present.
Website
Chair Susan Warren has an action item to contact Hal Norman who has graciously offered to assist in getting the website current and then she will manage it once they have their initial meeting.
New Business
President Butch Cheatham suggested we send a letter to the residents asking for their help in identifying trees endangering our roads, speeders, and litterers so that we can better manage those issues.
